Author Exhibitor Guidelines

Application Requirements: 

Booth Fee: Upon notification of acceptance, a $40, non-refundable fee will be due by digital payment or check to White Squirrel Arts Fest, mailed to White Squirrel Arts Fest, 456 Rodeo Lane, Bowling Green, KY 42101 along with a signed participation agreement (provided with notification of acceptance) no later than January 31, 2026.

On February 1, 2026, vendor fees increase to $50 and must be remitted no later than March 31, 2026 or you will be added to a waitlist.

Alternatively, for a $25, non-refundable fee due by 3/31/26, Authors have the option to display up to three titles in the Local Literature Booth, manned by a WSAF representative.

Welcome authors! 

We want to make the White Squirrel Arts Fest a public celebration of talent in Bowling Green and the surrounding area.

The Fest will take place on April 26, 2025 from 10 am to 4 pm. Authors with a book—traditional or self-published—who are interested in selling their work should submit an application to be an Author Vendor on the White Squirrel Arts Fest website. There is a minimal $40 charge to participate, but your exposure to potential readers will more than compensate for that! 

Writers will have an assigned 10-foot wide space in which to set up. You will need to supply your own 6 to 8 foot table and chairs. The festival requires a tablecloth (plastic is fine) to cover any containers and supplies you place under the table. If you must place additional supplies behind you, please plan to cover them with an additional white cover. Water for authors will be supplied.

Authors will be interspersed among art vendors both inside and outside the White Squirrel Brewery at 302 State Street in historic Shake Rag. We are so excited to again partner with the amazing small business that shares our adoration of these quirky, rare critters and appreciation of the arts.

Marketing is direct, so you are responsible for your sales. Please be sure to bring enough money to make change, and pens to sign your book! Extra paper, for your buyers to write the spelling of their names, is helpful. 

How many authors will participate? That is yet to be determined, but we hope to have 25-30.

How many people can we expect to attend/pass through the author area? That depends on participation. There will be news media announcements to the public beginning in March. You are encouraged to promote your participation on your websites and social media accounts so potential readers can find you.

What else is happening at the Fest? Artist vendors will be in the back space of White Squirrel Brewery, in the outdoor beer garden, and in the parking lot. Food trucks will participate along State Street and in the rear of the brewery. Art activations, a full day of live music and the return of the Poetry Slam are all being planned. It is a general celebration of the arts!

Will there be anything special to highlight authors? We hope to have an area where authors can read excerpts of their work if enough writers express interest. If you are a poet you can also sign up for the evening poetry slam (a separate event).
